School Administrator/Secretary

The Trustees of Stella Maris School are currently looking for a School Administrator/Secretary to start as soon as possible. The role is suitable for a highly organised individual with a professional approach, to work in a busy school office. The ideal candidate must have good office skills, excellent organisation, knowledge of social media and experience of book-keeping.

Tasks will include general administration duties, dealing with telephone queries and liaising directly with the Headteacher, staff, parents and pupils. You will be the first point of contact for visitors to the school and therefore will need to have excellent communication skills and a warm and friendly approach. Knowledge and experience of working with Microsoft Office and word processing skills are essential for this role and previous experience of using Quick Books would be very desirable. The successful candidate will also need to be proactive, flexible and able to make decisions. We are a small school with a small staff, therefore there will be occasions when you will be asked to assist in covering duties outside of the office. Part of this role will be assisting the Breakfast Club coordinator in offering supervision cover in the Breakfast Club on a part-time basis.

Hours: 8 am - 4 pm Monday to Friday
8 weeks holiday per annum (plus bank holidays) to be taken during school holiday periods
Salary - £18k -£22k dependent on experience and skill set


- Work with the Headteacher and assist with various PA admin duties
- Assist staff with administration when necessary and relay messages to staff
- Be responsible for the ordering of stock and the placing of orders
- First point of contact for Parents and visitors to the school
- Flexibility to assist with supervision of children when required to do so, under the direction of the Headteacher
- Willingness to assist with part-time supervision of the Breakfast Club under the direction of the Club Coordinator
- Provide First Aid cover
- Prepare invoices, chase payments and liaise with our off-site bursar
- Health and Safety responsibilities (fire drills) under the direction of the Headteacher
- Willingness to attend training courses for fire safety/fire marshal duties
- Updating weekly school calendars and taking minutes at staff meetings and distributing to staff
- Managing DBS disclosures for new members of staff
- Keeping the Single Central Register up to date under the direction of the Headteacher and Safeguarding Trustee
- Willingness to attend training in looking after the Single Central Register
- Managing the daily email communications coming into the Office email account
- Managing and recording fees and finances using Quick Books
- Managing the invoices for school milk/swimming/trips/After School Club fees
- Managing the school registers, updating absences and communicating with parents of children who are absent
- Supporting social media and Open Morning events for promoting the school
- Managing the administration for new starter applications
- Managing the day to day running of the school office
- Maintain office systems, including data management and filing


- Previous administration experience essential
- Experience of previously working in a school office or other admin positions within a school desirable
- Able to manage time effectively
- Prior use of Microsoft Packages
- Enhanced DBS
- Willingness to abide by the Staff Code of Conduct and all other Safeguarding policies and school procedures
- Current First Aid Certificate or willingness to acquire this certificate if successful
